Wedding OS ("we," "our," or "us") is operated by Stoked Seagull. This Privacy Policy explains how we collect, use, and protect your personal information when you use our AI-powered wedding management platform.

By using Wedding OS, you agree to the collection and use of information as described in this policy. If you do not agree, please discontinue use of the platform.

Information We Collect

Account Information: When you create an account, we collect your name, email address, and phone number through our authentication provider, Clerk. We also store your organization membership and role within your wedding planning team.

Wedding Planning Data: We collect information you provide about your wedding, including couple names, wedding date, location, estimated guest count, meal preferences, bar details, and RSVP deadlines.

Guest Information: We store guest details you enter, including names, email addresses, phone numbers, mailing addresses, dietary requirements, plus-one and child status, preferred contact channels, and RSVP responses.

Venue and Event Data: We collect venue names, addresses, geographic coordinates, website URLs, and event details such as ceremony and reception times, dress codes, and invitation scope.

Chat and AI Interaction Data: When you use our AI assistant, we store your conversation threads and messages to provide continuity and improve your planning experience.

Automatically Collected Data: We use cookies and similar technologies to collect usage data such as page views, browser type, and device information through Google Analytics. We also collect error and performance data through Rollbar to maintain platform reliability.

How We Use Your Information

Wedding Management: We use your wedding, guest, venue, and event data to power the core planning features of the platform, including guest list management, RSVP tracking, and event coordination.

AI Assistant: Your chat conversations are processed by AI providers (Anthropic, OpenAI, and Google) to deliver personalized wedding planning assistance. These providers process your messages to generate responses but do not retain your data for their own training purposes.

Communications: When you send email or SMS communications to your guests, we use Gmail integration to deliver those messages on your behalf. We store message and thread identifiers to track delivery status.

Error Tracking and Reliability: We use Rollbar to monitor errors and maintain platform stability. Error reports may include technical context about the issue but are used solely for debugging and improving the service.

Analytics: We use Google Analytics to understand how the platform is used so we can improve the user experience. This data is aggregated and does not identify individual users.

Internal Notifications: We use Slack webhooks for internal operational notifications such as new waitlist signups. These notifications are visible only to our team.

SMS Communications

Wedding OS enables users to send SMS messages to their invited guests for event-related communications, including invitations, RSVP requests, reminders, and updates.

Message frequency varies depending on event activity. Message and data rates may apply.

Users of the platform are responsible for ensuring they have obtained consent from recipients before submitting their phone numbers and sending messages.

All messages clearly identify the event host and provide context for the communication.

Recipients may opt out of SMS communications at any time by replying STOP to any message. For assistance, recipients may reply HELP.

We do not sell, rent, or share mobile phone numbers with third parties for their marketing purposes. Phone numbers may be shared with service providers solely for the purpose of delivering SMS messages on behalf of users.

Information Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your data will never be used for advertising or promotional activities by any external party.

We share data only with service providers that are essential to operating the platform: Clerk for authentication, Anthropic, OpenAI, and Google for AI assistant functionality, Google Analytics for usage analytics, Rollbar for error monitoring, and Gmail for guest communications you initiate.

We may also use Composio for third-party tool integrations, but only when you explicitly connect and authorize those integrations.

We may disclose your information if required by law, regulation, or legal process, or to protect the rights, safety, or property of Wedding OS, our users, or others.

Data Security

We take reasonable measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. Your data is stored in encrypted PostgreSQL databases, and authentication is managed through Clerk's secure infrastructure.

While we strive to protect your information, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security but are committed to following industry best practices.

Your Rights

You have the right to access, correct, or delete your personal information at any time. You can update your account details through your profile settings or contact us directly to request changes.

You may request a copy of the personal data we hold about you. You may also request that we delete your account and associated data. We will process deletion requests promptly, subject to any legal obligations to retain certain information.

If you are located in the European Economic Area, you have additional rights under the GDPR, including the right to data portability and the right to restrict or object to certain processing. If you are a California resident, you have rights under the CCPA, including the right to know what data we collect and the right to opt out of data sales — though we do not sell your data.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide our services. If you delete your account, we will remove your personal data within 30 days, except where retention is required by law.

Chat conversation history is retained while your account is active to maintain continuity in your planning experience. Aggregated, anonymized analytics data may be retained indefinitely.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the effective date at the top of this page. We encourage you to review this policy periodically.

If we make material changes that affect how we handle your personal information, we will notify you through the platform or via email before the changes take effect.
